Billing and your subscription

Gym TeamHub pricing, the 30-day free trial, upgrading to a paid subscription, and managing billing for your gym.

For: Owners & directors

Gym TeamHub is one flat subscription per gym — every feature, all your program hubs, unlimited members. Parents, athletes, and coaches never pay anything; the gym's subscription covers everyone.

How pricing works

One flat subscription per gym, billed monthly or annually (annual gets a discount). There are no tiers, no per-athlete fees, and no locked features — every gym gets the whole platform. Current prices are on the pricing page.

Running multiple locations? Each gym is its own subscription; one account can own several gyms.

The 30-day free trial

Your trial starts when you start your gym: from your My Hubs page, choose Start your gym, name it, and enter your billing info. You aren't charged anything up front — the first charge comes when the 30-day trial ends, and you can cancel any time before then. Everything is unlocked from day one: the trial is the full product, not a limited preview.

After the trial

There's nothing to upgrade — when your trial ends, your subscription simply continues on the card you entered. If you decide Gym TeamHub isn't for you, cancel before the trial ends (see below) and you won't be charged.

If your subscription ends, nothing is lost: your gym's hubs switch to view-only — everyone can still sign in and see everything, but nothing new can be added. All your data is preserved, and resubscribing reactivates the gym immediately.

Subscriptions are managed on the web app, not in the mobile app.

What view-only actually means

View-only applies to everyone in your gym, on both the website and the mobile app — coaches, parents, and athletes included. It isn't a lockout: nobody loses access to their account or their history.

Still works while view-only:

  • Signing in, and reading everything — schedules, rosters, scores, progress reports, past messages and posts
  • Keeping an athlete's safety details current — because an out-of-date allergy or an unreachable phone number isn't something a billing question should ever get in the way of. In the mobile app, owners, directors and coaches update medical information, emergency contacts and guardian details, and a parent updates medical information and emergency contacts for their own athlete. On the website, only a parent can do so, for their own athlete, and only medical information and emergency contacts
  • Opening messages and clearing unread badges
  • Exporting your roster to CSV from the website, so your data is always yours to take (staff only)
  • Leaving a hub, and deleting your own posts, reactions and chat messages — plus comments, on the website
  • Reporting a problem or submitting a safety report

Paused while view-only:

  • Posting, commenting, reacting, and sending messages
  • Taking attendance, checking off skills, and entering meet scores
  • Creating or editing assignments, events, competitions, and progress reports
  • Adding new people to the gym — invite links stop working, so nobody new can join until the subscription is active again

Everything resumes the moment the gym is reactivated. Nothing that was paused is lost — it was never deleted, just view-only in the meantime.

On the mobile app, people will see a short note saying the team is inactive. Because app store rules don't allow us to sell subscriptions inside the app, that note won't tell them how to fix it — reactivating always happens on the website, by the gym's owner.

Managing your billing

In your hub, Settings → Hub Settings → Billing shows your trial or renewal status and a Manage billing button — that's where you update your card, download invoices, or cancel (including cancelling during the trial). If you cancel a paid subscription, the gym stays fully active until the end of the period you've paid for.

Common questions

Who sees the Billing card?

Only the gym's owner — coaches, admins, and parents never see billing information, and there's nothing they need to do.

Does anyone besides the gym pay?

No. Families never pay Gym TeamHub anything — the gym's subscription covers every parent, athlete, and staff member in all of its hubs.

What happens to my data if I cancel?

It's preserved. A lapsed gym is view-only, not deleted — resubscribing brings everything back exactly as you left it.

Can I get a refund?

Subscription fees aren't refundable — that's what the 30-day free trial is for, so you can try the whole product before you're ever charged. If you cancel a paid subscription, you keep full access until the end of the period you've already paid for.

Can I still add a new family while my gym is view-only?

No — invite links stop working until the subscription is active again. Reactivate first, then send the invite.

Do my coaches and parents need to do anything?

No. They'll see a short note that the team is inactive, and everything they've already got stays readable. Only the gym's owner can reactivate, and only on the website.
