Roles — who sees what
The GymTeamHub roles explained — owner, director, admin, coach, parent, and athlete — and how hub permissions control what each one sees.
Everyone in a hub has a role, and the role decides what they can see and do. The short version: staff run the program, parents follow their own gymnast, and privacy is enforced everywhere — a parent never sees another family's private data.
The roles
| Role | Who it's for | What it unlocks |
|---|---|---|
| Owner | The person who created the hub | Everything — including hub settings, billing, roles, and deletion |
| Director | Program leadership | Nearly everything the owner has, minus ownership-level controls |
| Admin | Front-desk / office staff | Management workflows without full program control |
| Coach | Coaching staff | The day-to-day tools: skills, assignments, attendance, scores, reports |
| Parent | Families | Team-wide surfaces plus their own gymnast's private data |
| Athlete | Gymnasts | Gymnasts primarily live on the roster as records linked to their parents' accounts |
Owner, director, admin, and coach are collectively "staff" — throughout these docs, a Coaches & staff callout means all four.
What parents see
Parents get the shared team surfaces — calendar, announcements, groups, channels — and the private detail (medical info, skills, scores, assignments, progress reports) only for gymnasts linked to their account. Another family's gymnast shows up on the roster by name, but their private data is never visible to you.
Hub permissions are configurable
Owners & directors
The Access & Roles area in hub Settings holds the permissions matrix: per feature, you decide whether parents and athletes see nothing, their own data, or everything. The same tab's Member Roles editor changes what a person is — promote a coach to director, or move someone between staff roles.
Note
Because permissions are per-hub, what you see in these docs may differ slightly from your hub — if a tab or detail is missing for you, your gym has likely configured it that way.
